Grooming invoicing with taxes

Groomi builds the invoice from the appointment. The service, surcharges, products sold and travel fee become lines, the tax rate of your country or region applies, and your business number and tax number print on the invoice. You print it, email it and export it to CSV for your accountant.

An invoice straight from the calendar

From the calendar, generate the invoice for a finished appointment. When a client comes with several pets, one invoice can group all of their appointments for the day. You can also start from the Invoices screen: choose the client, tick their appointments, add products, and Groomi prepares the invoice.

Invoices are numbered in sequence, by year (FACT-2026-0001, FACT-2026-0002…). Groomi assigns the number, so there is no separate register to keep.

A product sale without an appointment

A client drops by for a shampoo or a brush? Create an invoice that holds only products from your inventory, with no appointment.

What the invoice includes

  • The service, with the pet’s name and the appointment date, at the price set for that appointment.
  • Surcharges you created (matting, undercoat, difficult dog), with their quantity and the price applied that day.
  • Products from the inventory sold to the client. Stock goes down accordingly, and is restored if you remove the line.
  • The travel fee of a mobile appointment, on its own line. On a chained route, each stop has its own line.

Before saving, you can change a line’s quantity or price, remove a line or add a product by category. The subtotal, taxes and total are recalculated with each change. A note can go with the invoice.

Sales tax, VAT, GST: your country’s rate

Taxes are set once, in the salon settings. Turn on “Collect taxes”, choose the country and then the region: Groomi fills in the rate. Rates are prefilled for 25 countries, including:

  • the United States, state by state, and Washington D.C.;
  • Canada, province by province and territory by territory (GST, HST or combined rates);
  • France, mainland, Corsica and the overseas departments;
  • Belgium, Switzerland, Germany and Spain (mainland and Balearics, Canary Islands, Ceuta and Melilla);
  • Italy, Portugal, the Netherlands, the United Kingdom, Ireland, Luxembourg, Austria, the Nordic countries and several Central European countries.

For example, Groomi suggests 14.975% for Québec (GST and QST combined), 13% for Ontario, 7.25% for California, 6.25% for Illinois, 20% for the United Kingdom and mainland France, and 19% for Germany. The rate stays editable: if your business falls under a special rate, if your city adds a local sales tax (common in the US, where the prefilled rate is the state rate) or if your country is not on the list, enter your own.

Your business number and tax number

The settings have two fields: a business number and a tax number. Enter the numbers that apply where you work, for example an EIN and a state sales tax permit, a business number and a GST/HST number, or a VAT number. They print in the header of each invoice, with the salon’s name, address, phone and email.

One tax line

The invoice shows a single tax line at the saved rate, for example “Taxes (20%)”. Where two taxes add up, such as GST and QST in Québec or GST and PST in British Columbia, Groomi applies the combined rate on that line and does not split the two.

Statuses and payments

Each invoice has a status: draft, issued, paid or cancelled. When you mark it paid, Groomi asks for the payment method (cash, debit, Visa, Mastercard, other credit card, transfer, cheque or other) and the payment date. Groomi does not collect the money: it records how and when the invoice was settled.

Only a draft can be deleted. An issued or paid invoice stays in your records; if it no longer applies, set it to cancelled. The invoice list can be filtered by client, status and period.

Print, send, export

  • Print: the invoice opens in a print-ready page to print or save as PDF from the browser.
  • Send: in one click, the invoice goes to the client by email, if they have an address. The email lists the lines, taxes and total, under your salon’s name. Groomi asks you to confirm the address before sending.
  • Export: a CSV file of the invoices for the year, a quarter or dates you choose, for your accountant.

For each invoice, the export holds the number, date, client, subtotal, tax rate and amount, total, status and payment method, with a totals row at the end. It opens directly in Excel. The printed invoice and the invoice email are in French.

Your revenue on the dashboard

Groomi’s dashboard shows your revenue for the day, the week and the month, along with the trend over the last six months, based on your invoices. You see where you stand without opening a spreadsheet.

Questions about invoicing

Does Groomi handle my country’s taxes?

Groomi prefills the rate for 25 countries, including the US by state, Canada by province, France, Belgium, Switzerland, Germany and Spain. You can change that rate, or enter your own if your country is not on the list. The invoice shows one tax line at that rate.

Which numbers print on the invoice?

Your business number and your tax number, if they are filled in the settings. There is one field for each: enter your country’s numbers, for example an EIN and a sales tax permit, a VAT number, or a business number and a GST/HST number.

Can I send the invoice to the client?

Yes, by email from Groomi, if the client has an email address. You can also print it or save it as PDF from the browser.

Do surcharges show on the invoice?

Yes. Each surcharge added to the appointment becomes a line with its quantity and price.

Can I invoice several pets together?

Yes. One invoice can group all of a client’s appointments for the day.

Does Groomi take card payments?

No. Groomi does not process payments. When you mark an invoice paid, you record the payment method and date.

Can I delete an invoice?

Only a draft. An issued or paid invoice is set to cancelled instead, which keeps the number sequence intact.

How do I send my invoices to my accountant?

With the included CSV export: your invoices for the year, a quarter or a chosen period, in one file with totals.
